Release Notes: Administer Media Manager Permission
Released: 09/09/2024
We’ve introduced a new permission, Administer Media Manager, to provide more granular control over access to your Media Manager.
Details
Default Access (WITHOUT the "Administer Media Manager" permission):
Access to the Media Manager only when inserting media within a module that uses the Media Manager, such as Campaigns, Conversations, Events, and Pages (if the user has permission to access the modules).
Select existing media for use in the respective module.
View the info section of existing media files and use the download feature.
Cannot upload, modify, or delete any media from the Media Manager, regardless of who added it.
Cannot upload or change their own profile picture from My Profile / Manage Account, because the photo picker opens the Media Manager and the upload action is blocked. Removing a profile picture they already have still works.
Additional Access Granted by the "Administer Media Manager" permission:
In addition to the default access described above, this permission grants:
Direct access to the Media Manager at Data + Automations > Documents > All Media.
Upload, modify (rename/move), and delete media.
Upload or change their own profile picture from My Profile / Manage Account.
Permission Assignment
This permission has been automatically assigned to the Element451 Administrator system permission group.
Administrators can manually assign this individual permission to custom permission groups as needed.
Granting this permission so an internal user can set their own profile picture also gives them full access to shared media, which is currently the only way to allow it.
Benefit
This update enhances security and control by allowing administrators to define who can manage media assets, reducing the risk of unauthorized changes.
