"Update Required" Checklist Status with Staff Feedback | September 2026

Staff can now set a checklist item to Update Required with a note explaining what needs to change, and students see the Received status as its own state.

Overview Header

Application checklist items now support an Update Required status. When a student submits something that arrived but is not acceptable, staff can set the item to Update Required, attach a note explaining exactly what needs to change, and the student sees that feedback along with a clear way to resubmit.

The existing Received status is also now visible to students as its own state, so applicants can tell the difference between an item that is under review and an item that needs their attention. Previously checklist tracking was effectively binary, so staff had to either leave an unacceptable document marked complete or flip it back to not completed with no explanation.

New "Update Required" Status

  • A new checklist status: staff can move a submitted item to a new Update Required from the checklist status picker.

  • Staff feedback note: Selecting Update Required lets staff enter the reason shown to the student, so requests like an illegible copy or a missing page are explicit rather than implied.

  • Counts as not complete: an Update Required item is treated as incomplete for checklist completeness, so progress counts stay accurate.

  • Reverting satisfied items: staff can move a previously satisfied item back to an incomplete or update state in order to request corrected documentation.

  • Automation pauses on staff-set statuses: when you set a Condition checklist item to Update Required, Received, or Pending Review, its Mark Complete When and Mark Waived When rules stop running on that item, so the status you set holds instead of being overwritten the next time the checklist refreshes.

  • Resubmitted items return to review: when a student replaces a transcript from Update Required, the item moves to Received for staff re-review rather than jumping straight to Completed.

  • Supplemental forms are excluded: Update Required is not offered for supplemental form checklist items, because a supplemental form cannot currently be reopened for editing once submitted.

  • Explanatory text: the status carries help text clarifying that the item has been received and is being reviewed, and will be marked complete once review finishes. Received, Completed, and Update Required are never conflated.

"Received" Status Is Now Visible to Students

  • Its own student-visible state: Received was already tracked internally, but students saw it as Not Completed, identical to an item that had never been submitted at all. It now appears as its own status to students.

Processing staff get a real correction loop instead of creating one-off checklist items as makeshift "please fix this" placeholders, which cluttered the checklist and confused students. Applicants stop guessing whether a document arrived, and when something is wrong they see exactly which item needs attention, why, and what to do about it.
